{ Reference architecture / lead operations }

Lead routing &
response architecture.

A blueprint for turning an inbound website inquiry into a validated, assigned CRM record with a clear next step.

{ The workflow }

From form submission to a reviewed response.

Workflow: capture, validate, qualify, assign, review, and log
//01

Capture & normalize

Receive a form submission through a webhook. Validate required fields, normalize the data, and use a stable submission ID to detect retries and duplicates.

//02

Check data quality

Check the email address and required CRM fields. Route invalid or uncertain records for review rather than triggering outbound actions. Validation reduces risk; it does not guarantee delivery.

//03

Qualify with rules

Apply explicit qualification criteria. AI can summarize intent or suggest a category, but ambiguous or low-confidence outputs need a fallback and human review.

//04

Assign an owner

Apply territory, team capacity, or rotation rules. Define a fallback owner when a rule cannot be resolved, and record why the assignment was made.

//05

Prepare the next step

Create a task or draft a response using approved context. Keep review requirements clear and respect the contact’s consent and communication preferences.

//06

Log & monitor

Record the event, assignment, review state, and outcome in the CRM. Monitor failed runs and define how the team can safely retry or resolve them.

{ Implementation thinking }

Tools follow the requirements.

Possible building blocks include n8n, Make, or Zapier for orchestration; a CRM such as HubSpot or Salesforce as the system of record; an email-validation service; and an AI service for bounded assistance. These are implementation options, rather than a claim that every tool is used in one deployed system.

//01

Before deployment

Test duplicate submissions, missing fields, uncertain AI output, exhausted routing rules, CRM outages, and retry behavior. Confirm access boundaries and avoid unnecessary personal data in logs.

//02

Evaluate observed behavior

Establish a baseline, then track time to assignment, unassigned leads, duplicate records, processing failures, manual interventions, and response quality.

This is an illustrative system design. It does not report a deployed client outcome, guaranteed response time, or measured revenue impact.
